How can I get access to the Barn?
If you would like access to the barn just call: 01865 400 968 and we will arrange a convenient time for you to visit. You may want to bring your florist or photographer to see the venue.
We can arrange access to Old Luxters Barn throughout the week or Saturday mornings. All appointments need to be pre-booked to ensure we have a member of staff available to meet you, as our team is not located at the venue.

Administrating your wedding, party or event
Once you have chosen Old Luxters Barn for your event our team who manage over 100 events each year and have the knowledge and expertise will guide you through each stage.
To confirm your booking and hold the date you will need to sign our terms of payment and pay your deposit.
Then once you have booked you will receive your Function File by email; this document forms the basis of the planning for your day and will be updated by us when required.
Six to eight weeks after you have booked (less if your event is imminent) one of our experienced team will contact you, your Function File will be updated (if required) and we will agree a convenient time for us to contact you again.
We will then be in contact with you, on an ongoing basis when required, but we are always happy to hear from you, so feel free to contact us at anytime.
By the time your event is six weeks away we would hope to have most, if not all, of the information about your day except perhaps for final numbers. We will usually contact you at this point to see how your plans are going and check that you have finalised the catering arrangements.
Three weeks before your day we will contact you to remind you that we need to have all of your final information in one week's time. We will send you an up-to-date copy of your Function File so that you can check everything is as you wish. Also attached will be a blank Service Plan, which you will need to complete and return to us at Interim. We will also let you know the time when we will call you, on your interim date, to go through the final information.
Two weeks to go! This is what we call your Interim Date (as per your "Booking Confrimation and Agreement Form"). We will need your final numbers and completed Service Plan. By this time your menus will have been confirmed with Touch of Taste including any special dietary requirements. This is the time to make any last minute adjustments to your Function File.
Your Interim Invoice (2nd Payment) will then be raised and sent to you by email, this will require payment by BACS transfer straight into our account prior to your wedding day. A £500.00 Holding Deposit will be added to your Interim Invoice to cover any extras used during your event or any damage that might occur. The £500.00 will be credited back to you on your Final Invoice.
Due to the nature of our bespoke service once the Interim date has passed no amendments or alterations can be made to your booking.
During the week after your event we will contact your nominated person for feedback on your event. We will also issue your Final Invoice (3rd Payment) which will include the return of your deposit including credits for any drinks not used etc, less any extras incurred on the day. At this time you will also be issued with an invoice, which details your whole event.

Cakes
Included in your facility fee is the use of our silver cake knife and stand (either round 40 cm diameter or square 38 cm x 38 cm). We position this on an ivory clothed 3' round table, usually placed near the mural.
We are delighted to recommend a local Cake Maker, Catherine Scott of Celebration Cakes who has supplied cakes for many events at Old Luxters Barn. She can be contacted on 0118 946 1112.
You will need to arrange for your cake to be delivered on the morning of your event. At the end of the evening please ensure arrangements are in place for one of your party to take home any remaining cake. This will be discussed with you during the planning stages.

Capacity
Our beautiful barn can seat 100 guests comfortably, but it can also be personalised to make a more intimate setting for smaller groups. Please ask one of the team for details of our tried and tested seating plans.
Car Park
We have ample free on site parking which is available for you and your guests to use during your event. Luxters Limited accepts no responsibility for any loss or damage to vehicles left in our car park.
Chair Covers
Our chairs in the barn are mahogany banqueting chairs with green padded seats; they can be used both in the barn and Marquee.
If you would like to use chair covers please feel free, however we do ask that you use our tried and tested supplier Cherubs. Please call Cherubs on 0118 956 7999 and ask for Marc or James.
Ivory in colour, the covers can be trimmed with bows to suit your theme; the costs include the delivery and staff to place them on the chairs. If ordered for a ceremony, Cherubs provide the covers for the registrar's chairs free of charge. They can also supply alternative table linen to suit your colour scheme.

Confetti
Please feel free to decorate your tables in the barn with confetti. However the use of confetti (with the exception of real petals), party poppers and silly string is not permitted on any area outside the barn, otherwise a cleaning charge will be levied.
Deliveries to Old Luxters Barn
We will discuss deliveries with you during the course of the planning stages, as a rule we can only receive deliveries on the day of your event and within a pre arranged timeslot.
Directional Signs
If you would like to erect any signs, balloons, streamers or such like en route to the venue, please feel free to do so, however, as a courtesy to our neighbours please ensure one of your party members is asked to be responsible for removing them at the end of your day. Please let us know if you would like to receive an electronic copy of our directions for you to send to your guests and suppliers.
Disabled Access
Everyone is welcome at Luxters and we will work with you to ensure that any of your guests with special requirements are catered for. Please call us to discuss any individual needs. As a general comment, access to Old Luxters Barn is gently sloping and we have a disabled toilet on site.
Entertainment
With over 2,000 successful weddings to date, we now have a great team of proven in-house entertainers, sourced via the professional booking agency Full Circle. Full Circle pride themselves on the quality and integrity of their service and they can source all forms of entertainment and themes including:-
You are welcome to use your own suppliers, however, please refer to the Legal Requirements section regarding Public Liability and PAT Testing. You will also need to arrange setting up and arrival times.
All of our preferred suppliers have Public Liability and their equipment is PAT Tested. We will also arrange arrival times with them for you.

Floristry and Decoration
Old Luxters Barn is a delight to decorate. A few things to consider:
- Fresh flowers only please if you wish to decorate the 12 wall sconces
- Centrepieces for the round tables should be no larger than 13" across
- Please no decorations on the beams
- Your flower arrangements should be removed at the end of your day

Food
Our in-house caterers, Touch of Taste, are a local company with a fantastic reputation, who are really passionate about food. Their style is traditional with a contemporary feel and they have lots of new ideas to offer. The food for your wedding is a big part of your day and we feel that Touch of Taste will enhance the experience. We think you'll enjoy talking to them and find their enthusiasm refreshing.
Garden Furniture
Luxters furniture is only for use in the barn or the marquee and cannot be used on the cobbles or the lawn. Please find below the prices for outside alternatives, if required:

Insurance
We have full and extensive insurance cover for both Old Luxters Barn and the marquee; however, you may wish to consider arranging additional cover. Many insurance companies offer this type of cover.
Legal Requirements
You are welcome to use your own entertainment suppliers at Old Luxters Barn; however, we do insist that they hold Public Liability Insurance up to £5m. We will need to see a copy of their Certificate at least two weeks before your event, or your supplier will be refused entry and will be unable to perform.
Any electrical equipment used at Old Luxters Barn must be PAT Tested (this is to comply with The Electricity at Work Act 1989). This includes extension leads and applies to band equipment, projectors and any additional lighting etc. We will need to see proof of this in the form of a Certificate that covers each item to be used at least two weeks before your event. Failure to do this will result in you not being able to use your equipment on the day. Please contact your local electrician to find out about getting your equipment tested.

Lost Property
We make every effort at the end of each event to log and safely store any personal possessions left at the venue, however, we cannot be held responsible for any items left at the premises.
We keep all items for a maximum of one week before making a donation to the local charity shop. You can contact our Head Office to ascertain if items have been found and make arrangements for collection. Due to the volume of items left we cannot undertake to post items.

Marquee
The marquee provides a wonderful space for either refreshments prior to a ceremony (it is a condition of the civil ceremony licences that no food or drink may be taken into the barn prior to the ceremony) or for reception drinks and canapés.
The marquee can be used throughout the day to provide additional space, an ideal place for guests to meet, circulate and refresh themselves during evening celebrations.
The frame marquee is 30' x 30' and comes with ivory lining, matting, lighting and French doors with the option of heating for colder months. It fits beautifully on the lawned area adjacent to Old Luxters Barn. You can also have an additional bar in the marquee.

Speeches
We can provide a radio microphone for you to use during your speeches, which is linked to our music system. This would need to be booked in advance and costs £35.00.

Tours and Tastings
Our on-site neighbours, the multi-award winning Chiltern Valley Winery and Brewery, offer comprehensive tours of their facilities. They are normally carried out by the enthusiastic owner, who will give a full "grape to glass" and "hops to pint glass" tour and talk - tastings are included. The tours can be tailored to your requirements and can last from as little as 30 minutes. We have found that this is an amusing and unusual activity for your guests. This is only available on weekdays.
